Understanding Refunds

All refund requests for fees paid through the Trichy Engineering College online portal are governed by this policy. Please read it carefully before initiating any refund request. Refunds are subject to college approval and are handled exclusively through the offline process described below.

Refund Authority

The sole authority to approve or reject refund requests lies with the Financial Administrator of Trichy Engineering College. Neither Ahopez Innovations nor Paytm has authority to initiate or approve refunds on behalf of the college except as described under Section 4 (Automatic Refunds).

How to Request a Refund

Refund requests must be submitted in person at the College Cash Counter. Online or email refund requests are not accepted. The following steps apply:

  • ➤ Visit the College Cash Counter during official working hours
  • ➤ Submit a written refund application with your name, roll number, amount paid, and reason for refund
  • ➤ Provide original or printed payment receipt / transaction confirmation
  • ➤ The request will be forwarded to the Financial Administrator for review and approval
  • ➤ You will be notified of the outcome through the college's official communication channel
No Online Refund Requests

Refund requests submitted through this portal, via email, or through any other digital channel will not be processed. All requests must be made in person at the College Cash Counter only.

Approval & Processing

Once a refund request is submitted:

  • ➤ The Financial Administrator will review the request and supporting documents
  • ➤ Approval or rejection will be communicated within a reasonable period as determined by the college
  • ➤ Approved refunds will be disbursed via a method determined by the college (cash at counter or bank transfer, at the college's discretion)
  • ➤ The timeline for refund processing post-approval depends on internal college procedures and banking cycles
Processing Note

The college is not bound to refund any fee unless the refund is specifically permitted under applicable college fee regulations and approved by the Financial Administrator. Submission of a request does not guarantee a refund.

Automatic Refunds (Technical Failures)

In rare cases where a payment transaction fails technically — such as amount debited from the student's bank account but payment not confirmed on the portal — Paytm or the issuing bank may automatically initiate a reversal of the transaction as per their standard technical failure protocols.

  • ➤ Such automatic reversals typically occur within 5–10 working days, depending on the bank
  • ➤ These are processed solely by Paytm / the bank and are not within the control of the college or Ahopez Innovations
  • ➤ If an auto-refund does not reflect after 10 working days, the student must visit the Cash Counter with the failed transaction reference number
What to do for a Failed Transaction

Do not reattempt payment immediately. Wait 24 hours and check your bank account. If the amount was debited but not reflected in your fee ledger, visit the Cash Counter with your transaction ID and bank statement.

Non-Refundable Fees

Unless explicitly stated otherwise by the college, the following are generally non-refundable:

  • ➤ Registration fees and application fees
  • ➤ Examination fees once the examination has been conducted
  • ➤ Fees paid for services already rendered (e.g., library access, lab usage)
  • ➤ Late fee charges or penalty fees

The specific refundability of any fee category is determined by the college's fee regulations and the decision of the Financial Administrator.

Responsibility Boundaries

It is important to understand the responsibility of each party in the refund process:

  • ➤ Trichy Engineering College is responsible for approving, denying, and disbursing approved refunds
  • ➤ Paytm is responsible for processing automatic reversals in the event of technical payment failures
  • ➤ Ahopez Innovations is a technology provider and has no role in, and no liability for, refund decisions or disbursements
